About the plan

The Gender Equality Plan (Plan for assisting employees in harmonious career development) for 2022-2026 is a tool aimed at creating a comfortable workplace and development for employees and doctoral students based on the principles of equal and dignified treatment, as well as supporting individuals in difficult moments of their careers and family life.

The Gender Equality Plan begins with a diagnosis of the impact of the gender of staff and doctoral students on the implementation of professional development and performance of tasks at the Institute, by identifying the elements that constitute the most significant barriers depending on the nature of work or life situation. The document then defines a set of detailed corrective actions that, in the perspective of the Plan's implementation, will lead to a reduction in inequalities as measured by the proposed indicators.

The results of the annual analyses of the Plan's effects will be made public on this website (the annual report will be published no later than March 31 of the following year).

Director's Proxy for Equality Affairs

Coordination of activities related to the implementation of the plan will be handled by Ms. Magdalena Skrajnowska, who has been appointed as the Director's Proxy for Equality Affairs.

1. The Administrator of Personal Data (Administrator) is:

3. Purpose of personal data processing and legal basis of the processing:

The Administrator processes personal data on the basis of premises resulting from Article 6 of the General Regulation of the European Parliament and the Council on the protection of personal data of 27 April 2016 No. 2016/679 in particular:

1. In order to conclude, perform or terminate an agreement or other legal and statutory activities of the Administrator - in this respect it concerns all preparatory activities preceding the conclusion of an agreement, organisation of scientific conferences and workshops, procedures for awarding scientific degrees, including analysis, as well as activities in the process of concluding and performing an agreement or other activities related to an agreement (e.g. powers of attorney), related to the service of a data subject, in particular related to participation in scientific conferences and workshops, participation in scientific programmes and projects, proceedings of doctoral and post-doctoral dissertation cables or agreements for renting premises and premises owned by the Administrator;
2. In order to perform the activities in accordance with the consent given by the data subject, including for recruitment purposes;
3. In order to perform tasks in the public interest within the scope resulting from the provisions of law;
4. Performing legal obligations incumbent on the Administrator, e.g.: issuing and storing invoices and accounting documents, appropriate documentation and archiving of matters related to scientific processes of scientific employees and persons applying for the granting of professional titles or degrees in accordance with the provisions of relevant laws;
5. Establishing, defending and enforcing claims, including the sale of receivables to another entity;
6. Creation of analyses, compilations and statistics for the internal purposes of the administrator;
7. for other purposes related to the conducted business activity, pursuing claims on account of conducting business activity and to fulfil legally justified objectives of the Company, including sales and direct marketing.

4. Providing personal data is voluntary, however, in order to conclude and perform the agreement it is necessary, in particular administration in connection with the employment relationship, participation in conferences and scientific workshops.

5. Types of personal data processed: ordinary data necessary for the purposes of contract execution are processed. The Administrator reserves the right to process sensitive data in accordance with Article 10 of the General Regulation of the European Parliament and the Council on the protection of personal data of 27 April 2016 No. 2016/679 ("data on convictions") only in strictly defined cases, i.e. in situations of conviction for a crime which results in the Administrator being the victim.

6. Personal data will be collected:

1. directly from persons with whom the Administrator concludes agreements;
2. from the register of entrepreneurs (currently the Central Records and Information on Business Activity) and from the database of the Central Statistical Office and entities collecting or analysing information on entrepreneurs for marketing purposes and to create lists and analyses for the duration of the agreement;
3. from entities handling payment transactions in the case of non-cash payments;

7. Personal data will be processed:

1. for the time necessary to examine the application, prepare for the performance of a given activity, and if the agreement is concluded for its duration. In case of termination of the contract, the Administrator will store the data for a specified period of time with the possibility of pursuing claims under the contract;
2. until the withdrawal of consent - in the case of personal data obtained on the basis of consent;

8. Rights of the person whose data are processed

Everyone whose data is processed has the right to:

1. Requests for access to your personal data;
2. Correction of personal data when they are inconsistent with the actual state;
3. Delete processed data, limit the processing of personal data;
4. object to the processing of personal data
5. the withdrawal of all or some of the consents relating to the processing of data or to the processing of specific data.
6. file a complaint with the President of the Office for Personal Data Protection (from 25 May 2018), when he considers that the processing of personal data concerning the Customer violates the General Regulation of the European Parliament and Council on the protection of personal data of 27 April 2016 No. 2016/679

- unless there are grounds for further processing of the data by the Administrator, in particular in connection with the duration of the purpose of the processing.

9. The recipient of the data may be:

1. The Polish Academy of Sciences and other public and non-public higher education institutions, scientific institutes or other research and development entities, persons holding scientific and titular degrees within the framework of proceedings for the award of the academic degree of doctor or habilitated doctor of candidates;
2. Partners cooperating with the Administrator, listed on the Administrator's website;
3. Subcontractors supporting our services;
4. Entities providing advisory, consulting, audit, legal, tax and accounting services, research agencies acting on behalf of the Administrator;
5. Entities purchasing receivables - in the event of failure to pay the liabilities in due time by the data subject;
6. Entities cooperating with the Administrator in handling accounting and legal tax matters - to the extent that they become data controllers;

10. Personal data may be processed in an automated manner, but not in the form of profiling.

In March 2005 the European Commission adopted a recommendation of a European Charter for Researchers and a Code of Conduct for the Recruitment of Researchers. The Charter and Code aim to provide equal rights and obligations for individual researchers throughout Europe by specifying the roles, responsibilities and entitlements of researchers, as well as those of funders and/or employers of researchers. The guidelines of the Charter and Code address all European research organizations and universities, both public and private. Both documents are aimed at encouraging and developing good practice across Europe. The principles of the Charter and Code represent best practice guidelines on which research institutions may seek to align their policies, and do not constitute a legal commitment. These principles are to be implemented on a voluntary basis, with full respect for diversity in the methods of implementation.

Since the adoption of the Commission Recommendation on the Charter & Code in 2005, over 1 200 institutions from 40 countries in Europe and abroad (and European/international organizations) have expressed their explicit support for the Charter & Code and 232 have obtained the Commission's "HR Excellence in Research" badge.

As the Institute works in a number of ways on creating a sound and inspiring research climate for its researchers, in April, 2015, its authorities have signed the Declaration of Commitment to adopt the European Charter and Code of Conduct for the Recruitment of Researchers.

The procedure and plan for next phase, which was drafting the Human Resource Strategy of the Institute for Researchers’ Career Development were discussed and adopted by the Institute Management in August 2015. This decision was the milestone step taken by the Institute to apply for the HR Excellence in Human Resources logo. By acquiring the HR logo, the Institute hopes to improve this research climate even further. The Institute’s aim is to recruit, retain and motivate talented researchers on the international level. The Institute regards the principles of the HRS4R logo as a mirror for its HR researcher policy. The process has been identified by the Institute authorities as an excellent opportunity to find out how researchers and other key stakeholders experience the rules and policy in their daily work activities. So the next step, during September/October 2015, was to analyze the current status of the Institute in the context of HR policy to provide the most efficient tools for the new strategy implementation.

In October, 2015, the Institute has elaborated a Human Resources Strategy for Researchers’ Career Development, including the Internal Gap Analysis and the Action Plan for the period 2016-2018. The HR Excellence in Human Resources logo was awarded to the Institute in March 2016.

Institute of Low Temperature and Structure Research is a research institute of the Mathematics, Physics, Chemistry and Earth Sciences Division of Polish Academy of Sciences. 

Research interests include wide research of physicochemical structure of solid state and connection to physical, chemical and spectroscopic properties, especially in low temperatures. Institute’s specialty are investigations of magnetic 5f- and 4f -electron systems, superconductors, physics of phase transitions and molecular spectroscopy.

The main tasks of the Institute are: conducting scientific research (mostly basic, pre-application studies); scientific training of researchers and specialists with qualifications connected with Institute’s interests and used research methods; cooperation with universities and colleges in teaching duties; smoothing the way of applying of the obtained results; supporting of the governmental units in metrological duties; and popularization of knowledge connected with Institute’s interests. Institute Scientific Council has rights to award PhD and PhD hab. degrees in physics and chemistry.
